Position: HR Administration Assistant
Job Purpose:
As an HR Administration Assistant, your main responsibility is to assist the Regional HR team in managing HR administration activities for branch employees. You will be responsible for compiling HR documents and reports, ensuring accurate record-keeping in compliance with company policies, procedures, and standards. Your role will involve handling day-to-day administration processes related to work-related documentation and contributing to the delivery of seamless and effective HR operational support through coordination and administration.
Responsibilities:
- Manage end-to-end HR administration processes, including recruitment activities, visa documentation, medical insurance, and employee file management (both physical and digital).
- Ensure timely preparation of offshore mobilization-related documentation before expiration dates as per service delivery requirements.
- Support administration processes for recruitment, onboarding of new hires, and offboarding of leavers.
- Maintain accountability for all incoming and outgoing HR administration-related documents for the organization.
- Collaborate with the Regional Head of HR to prepare monthly administration-related reports for planning document renewals and other activities.
- Coordinate with relevant stakeholders to ensure timely notification and scheduling of document renewals, considering staff availability.
- Handle administration-related processes for secondments or short-term assignments to other branches.
- Update and maintain the HRMS system for efficient process management.
- Perform various administrative tasks such as data entry, photocopying, scanning, filing, bulk emailing, and document distribution.
- Provide HR administration support and guidance to employees, function managers, and site supervisors, aligning with established HR and administration processes, policies, and procedures.
- Support recruitment and selection processes for advertised positions, including sourcing, references, interview scheduling, follow-up documentation, and onboarding.
- Assist in employee offboarding processes.
- Support HR team with case work and HR projects.
- Manage HRMS and maintain the HR database and employee files to ensure accurate and confidential administration of employee details.
- Handle sensitive and confidential HR information, data, and files in accordance with data protection, HR standards, and processes.
